Create Payments

You can create a number of payments at once, using beneficiaries and free-format instructions on the same screen. You can only make payments and transfers from accounts you have access to.

If you have permission to create and authorise your own payments, you will be offered Single Stage processing. This means the payment goes straight to the bank after it has been authorised.

Single Stage Authorisation

If you have permission to create and authorise your own payments, you will be offered Single Stage processing. This means the payment goes straight to the bank after it has been signed for. If the payment doesn't meet the single stage criteria, it will move to the process payments screens.

An onscreen message will let you know if the payment can be sent straight to the bank

  1. Click Continue to use Single Stage Authorisation
  2. Sign payment as usual
  3. Click Process Payments then Bank Box to confirm status of payment
  4. If Single stage is not appropriate for the payment, uncheck the payment
  5. Click Continue

The payment will move to the Process Payments screen where it is required to be batched, authorised and then sent to the bank.

Beneficiary lists

If you regularly pay the same beneficiaries, save time by adding them to your beneficiary list.

To add additional information to a payment

  1. Click the ID link
  2. Complete additional fields required
  3. Click Save

To add details to an existing beneficiary

  1. Click Manage Beneficiaries in the Payments tab
  2. Click Find Beneficiary
  3. Enter account information and click Find
  4. Click the beneficiary name
  5. Click Amend
  6. Enter the new details
  7. Click Save

Transfers

Inter Account Transfer (transfer between accounts within your agreement - cut off time 17:00)

  1. Select the Payments tab
  2. Click Create Payments
  3. Click Inter Account Funds Transfer. There is a free format option on this payment type. If selected the account details are manually entered.
  4. Click on the dropdown box and select the debit account
  5. Click on the dropdown box and select the credit account
  6. Complete the Amount field
  7. Enter the Payment Date
  8. Click Create

Currency Inter Account Transfer (transfer between same currency accounts within your agreement - cut off time 17:50)

  1. Select the Payments tab
  2. Click Create Payments
  3. Click Inter Account Funds Transfer. There is a free format option on this payment type. If selected the account details are manually entered.
  4. Click on the dropdown box and select the debit account
  5. Click on the dropdown box and select the credit account
  6. Complete the Amount field
  7. Enter the Payment Date
  8. Click Create

Cross Currency Inter Account Transfer (transfer between different currency accounts within your agreement e.g. transfer of US Dollars from your Dollar Account to your Euro Account. - cut off time 17:00)

  1. Select the Payments tab
  2. Click Create Payments
  3. Click Inter Account Funds Transfer. There is a free format option on this payment type. If selected the account details are manually entered.
  4. Click on the dropdown box and select the debit account
  5. Click on the dropdown box and select the credit account
  6. Complete the Amount field
  7. Enter the Payment Date
  8. Click Create

Domestic Payments

Bacs (Single) payment (cut-off time 17:00)

  1. Select the Payments tab
  2. Click Create Payment
  3. Click Bacs (Single)
  4. Click Free Format or Select Beneficiaries
  5. If Free Format, complete all fields then click Create
  6. If Select Beneficiaries, check the required beneficiary/s and click Select
  7. Complete the Debit Account field
  8. Enter the Value Date for the payment (this is the date the payment will debit your account and credit the beneficiaries account)
  9. Complete the Amount field
  10. Complete the Remitter Reference field
  11. Click Create

Bacs Multiple payment (one debit and multiple credits - cut off time 17:00)

  1. Select the Payments tab
  2. Click Create Payments
  3. Click Bacs Multiple
  4. Click Free Format or Select Beneficiaries
  5. If Free Format complete all fields then click Create
  6. If Select Beneficiaries check the tick box next to the required beneficiary/s and click Select
  7. Complete the Debit Account field
  8. Enter the Value Date for the payment (this is the date the payment will debit your account and credit the beneficiaries account)
  9. In the Summary Reference field enter a reference for the payment (this will only be viewed in Corporate Online)
  10. In the Remitter Reference field, enter the reference you wish to see on your statement
  11. Enter the amount for each beneficiary
  12. Click Create

Faster Payment (same day clearance - cut off time 17:45)

  1. Select the Payments tab
  2. Click Create Payments
  3. Click Faster Payments
  4. Click Free Format or Select Beneficiaries
  5. If Free Format complete all fields then click Create
  6. If Select Beneficiaries check the required beneficiary/s and click Select
  7. Complete the Debit Account field
  8. Enter the Payment Date
  9. Complete the Amount field
  10. Complete the Remitter Reference field
  11. Click Create

CHAPS payment (same day debit and credit - cut off time 17:25)

  1. Select the Payments tab
  2. Click Create Payments
  3. Click CHAPS Payment
  4. Select either Free Format or Select Beneficiaries
  5. If Free Format, complete all fields and click Create
  6. If Select Beneficiaries check the tick box next to the required beneficiary/s and click Select
  7. Complete the Debit Account field
  8. Complete the Amount field
  9. Enter the Payment Date
  10. Click Create

International Moneymovers

International Moneymovers (Currency and Sterling payments to cross border and UK beneficiary (UK beneficiary is non-sterling only)

All International Moneymovers being made in Euros and destined for a country within the EU/EEA must quote the beneficiary account BIC and IBAN.

To create an International Moneymover

  1. Select the Payments tab
  2. Click Create Payments
  3. Select International Moneymover
  4. Select either Free Format or Select Beneficiaries
  5. If Free Format is selected, provide the beneficiary's details in relevant fields, specialist instructions can be attached to the payment, refer to step 12 for more information.
  6. If you wish to use previously saved beneficiary details, click on Select Beneficiaries, check the tick box next to the required beneficiary/s and click Select
  7. Click on the hyperlink within the ID field and complete payment details from this screen
  8. Select the account to be debited from the Debit Account drop down box
  9. Enter the payment value and currency, note: the Currency of Amount must be the same as the currency of Debit Account or the Currency to be Sent.
  10. Enter the Payment Date
  11. Select charging option for the payment - refer to More on charging options for International Moneymovers via hyperlink below for guidance on charging options
  12. Additional information can be added to payments if Use Specialist payment instructions check box is selected
    • If you have a pre-booked FX deal then the FX reference number can be provided in the FX Reference field along with the rate in the associated field. The FX reference must be correctly formatted with either B, F or X followed by 10 digits. Enter any agreed rate in the FX Rate for which a reference has been provided.
    • The payment can be made using an intermediary bank. Provide details of the intermediary bank that will be used to make the payment.
    • Any additional instructions or information that you want to provide to use when we process the payment can be provided in the Specialist Instruction field.
  13. Click Save then Create from the next screen.

International Moneymover with Live Rate (Currency and Sterling payment to cross border and UK beneficiary (UK beneficiary is non-sterling only with the current exchange rate)

All International Moneymovers being made in Euros and destined for a country within the EU/EEA must quote the beneficiary account BIC and IBAN.

Corporate Online allows you to process an International Moneymover with an exchange rate based on your choice of currency for the debit account and the currency to be sent.

  1. Select the Payments tab
  2. Click Create Payments
  3. Click International Moneymover with Live Rate
  4. Select either Free Format or Select Beneficiaries
  5. If Free Format, provide the beneficiaries details in relevant fields. then provide information detailed below
  6. If Select Beneficiaries check the tick box next to the required beneficiary/s and click Select
  7. Click on the hyperlink within the ID field and complete payment details from this screen
  8. Select the account to be debited from the Debit Account drop down box
  9. Enter the payment value and currency. The currency of Amount must be the same as the currency of Debit Account or the Currency to be Sent.
  10. Enter the Payment Date
  11. Enter an Expiry Interval period - the payment must be sent to the bank within the time period chosen
  12. Click Get Rate, the rate displayed will be held as long as the time period selected
  13. Add any account references in the Payment Details field Select the charging option - refer to More on charging options for International and Euro Moneymovers
  14. Additional information can be added to payments if Use Specialist payment instructions check box is selected
    • The payment can be made using an intermediary bank. Provide details of the intermediary that will be used to make the payment
    • Any additional instructions or information that you want to provide to use when we process the payment can be provided in the Specialist Instruction field
  15. Click Save then Create from the next screen

Country Specific Requirements

International Draft Payment (bank draft in currency and destination currency of your choice)

An International Draft is a cheque made out in a foreign currency to a specified beneficiary. The Lloyds Bank branded draft will be posted to the business address we hold on file.

  1. Select the Payments tab
  2. Click Create Payments
  3. Click International Draft Payment
  4. Click Select Beneficiaries
  5. Click Select
  6. Select the account you wish to debit
  7. Enter the value and currency
  8. Enter the country the draft is bring sent to
  9. Amend the Reference if required
  10. Tick the Pay Bank Charges box if appropriate
  11. Click Create

Basic Euro Moneymover (Non-urgent Euro (SEPA Credit transfer) payment to beneficiaries in Europe and UK in Euros only)

All Basic Euro Moneymovers must quote the beneficiary account BIC and IBAN.

  1. Select the Payment tab
  2. Click on the Create Payments
  3. Select Basic Euro Moneymover
  4. Select either Free Format or Select Beneficiaries
  5. If Free Format, provide the beneficiaries details in relevant fields, then provide information detailed below
  6. If you wish to use previously saved beneficiary details, click on Select Beneficiaries. check the tick box next to the required beneficiary/s and click Select
  7. Click on the hyperlink within the ID field and complete payment details from this screen
  8. Select the account to be debited from the Debit Account drop down box
  9. The Currency of Amount and Currency to be Sent will be preset to Euro, if you require to send a payment in a different currency navigate back to the Create Payments screen and select an International Moneymover payment type.
  10. Add any account references in the Reference field
  11. Select charging option for the payment - refer to More on charging options for International and Euro Moneymovers for guidance on charging options available.
  12. Click Save then Create from the next screen

Basic Euro Moneymover Live Rate (Non-urgent Euro (SEPA Credit transfer) payment to beneficiaries in Europe and UK in Euros only with the current exchange rate)

All Basic Euro Moneymovers must quote the beneficiary account BIC and IBAN.

  1. Select the Payment tab
  2. Click on the Create Payments
  3. Select Basic Euro Moneymover with Live Rate
  4. Select either Free Format or Select Beneficiaries
  5. If Free Format, provide the beneficiaries details in relevant fields. then provide information detailed below
  6. If Select Beneficiaries check the tick box next to the required beneficiary/s and click Select
  7. Click on the hyperlink within the ID field and complete payment details from this screen
  8. Select the account to be debited from the drop down box
  9. The Currency of Amount and Currency to be Sent will be preset to Euro, if you require to send a Live Rate payment in a different currency navigate back to the Create Payments screen and select an International Moneymover with Live Rate payment type
  10. Enter an Expiry Interval period - the payment must be sent to the bank within the time period chosen
  11. Click Get Rate, the rate displayed will be held as long as the time period selected
  12. Add any account references in the Reference field
  13. Select charging option for the payment - Refer to More on charging options for International and Euro Moneymovers for guidance on charging options available
  14. Click Save then Create from the next screen

International Cash Management

International Cash Management

Please note that International Cash Management is not available to new customers. Request the transfer of funds from any preset International Cash Management (ICM) account, using pre-set rules for the credit of one of your accounts. The Transfer request uses SWIFT MT101 format.
There are two types of ICM funds request:

  • ICM funds transfer - request the transfer of a specified amount
  • ICM funds sweep - request the transfer of all funds in your account, taking the balance down to zero, or a specified residual balance

The amount of information which has to be completed on an ICM Funds Transfer/Sweep depends on the type of request and the specific details required by your bank and yourself.

Optional fields you may have to complete for an ICM request are :

  • CHQB - request that beneficiary is paid by cheque
  • CMSW - request to sweep account
  • CMTO - request to top account above a certain floor limit
  • CMZB - request to zero balance account
  • CORT - contains a payment made in settlement of a trade
  • INTC - contains an intra-company payment
  • NETS - should be settled via a net settlement system
  • PHON - request to contact the beneficiary by telephone, number should be provided
  • REPA - payment has a related e-payments reference
  • RTGS - should be settled via a real time gross settlement system
  • URGP - urgent payment
  • OTHR - used for bilaterally agreed codes/information

To create ICM funds transfer or sweep

  • Select the Payments tab
  • Click Create Payments
  • Click ICM Funds Transfer or ICM Funds Sweep
  • Check the tick box next to the required rule
  • Click Create

Importing Payment Files

Importing Payments

When the import function is selected, the Service User is presented with a Select Data File option which is used to locate the file to be imported. The system then reads the selected file, and validates its contents as described in the following section.

There are three Import To options available when importing a payment file;

  • Shared Template – the file is imported to a shared template that can be viewed by all Users. Payments may be generated from the template.
  • Personal Template – the file is imported to a personal template that can only be viewed by the User who imported the file. Payments may be generated from the template.
  • Straight to Authorisation – the imported payment file will go straight to the Authorisation Box ready to be authorised removing the need for the payments to be batched. If Straight to Authorisation option is selected COL will automatically split the payment file into batches of up to 200*.

The appropriate file format must then be selected e.g. COL Bacs which is used for Bacs Multiple payments only or COL CSV which is used for all other payment types. A maximum of 1000 payments may be imported within a COL CSV file.

  • If imported to a template, one template will be created containing all the payments within the file. The template name will be made up of the batch name provided in the import File Header followed by a timestamp e.g. "Batch name"_16/12/2012 15:41:14.
  • If imported Straight to Authorisation, all batches will be displayed with the name "Imported Batch" followed by the batch number and a timestamp e.g. Imported Batch1 16/12/2012 15:41:14.

A maximum of 2000 payments can be imported within a COL Bacs file.

  • If imported to a template, up to 10 templates containing a maximum of 200 payments in each will be created with the name "Import" followed by a timestamp and the batch number e.g. Import: 16/12/2012 15:41:14_1.
  •  If imported Straight to Authorisation, all batches will be displayed with the name "Imported Batch" followed by the batch number and a timestamp e.g. Imported Batch1 16/12/2012 15:41:14.

* Files imported using Straight to Authorisation can contain mixed payment types with the exception of Bacs Multiple payments. Mixed payment files are batched according to the authorisation rules of each payment type up to a maximum of 200 payments per batch.

Please note that mixed files cannot be imported to Shared or Personal Templates.

  • Importing to a Shared or Personal Template
  1. Select the Payments tab
  2. Click Create Payments
  3. Click Import Payments
  • Select the appropriate File Format
  1. Select Browse to find payment file
  2. Highlight file then click Open
  3. Click on Shared or Personal
  4. Click Save

The payment file will be saved within Manage Templates.

  1. Select Manage Templates from the Payments tab and open either the  Shared or Personal tab
  2. Check the tick box next to the payment name
  3. Click Open
  4. Click Create and process the payment in usual manner
  • Importing Straight to Authorisation
  1. Select the Payments tab
  2. Click Create Payments
  3. Click Import Payments
  4. Select Browse to find payment file
  5. Select Straight to Authorisation
  • Select the appropriate File Format
  1. Highlight file then click Open
  2. Click Save

If unsuccessful, an error message will be displayed. Amend the file accordingly then import again. Refer to the Import/Export guide for valid file formats
